How To: Talk With Companies for Booking: Part 1

When booking vendors for an event, the biggest thing that they will require is your transparency as a property manager regarding the event. Expect questions such as: how many people this event will be hosting, how many people can I expect to service, what is the success-rate of events at this space of this caliber, how long should I expect to be there, and more.  

In an effort to set your event up for success, MOBLZ offers a few tips and tricks to make your event a smooth-sailing process for your vendors.  

As we discussed earlier, try to have an idea of how many people will be attending your event. This can be done by using methods such as an email that allows employees to RSVP whether or not they’ll be in attendance. Having a better understanding of how many people will be in attendance will help your vendors better to understand the magnitude of the event and how to best prepare.  

Understanding the success rate of events at your space is crucial in knowing what kind of services will be needed to make the event a hit. For example, if your office has a low turnout rate for company sponsored events, you may want to budget accordingly in an effort to not over-spend for a low turnout event. If the success rate for events at your office space is high, it may be worth it to invest in games and vendors that will entertain your guests. Offering activities other than just food trucks can help keep lines shorter and employees engaged and have a great time.
